Odoo 18 brings a completely revamped Point of Sale interface with design updates and functional enhancements aimed at providing a smoother, faster, and more intuitive experience for retailers, restaurants, and service-based businesses. The PoS Interface Settings section gives you granular control over how your POS sessions behave, who can access them, and how products and pricing are displayed to customers.

Accessing POS Interface Settings
From the Configurations menu, select the PoS Interface tab in the Settings window to specify the primary PoS Interface settings.
- Navigate to Point of Sale > Configuration > Settings

POS Interface Customization Options
The PoS Interface settings provide several customization choices to tailor your POS experience:

Login with Employees: PIN and Badge Authentication
The Login with Employees feature increases accountability and security within POS sessions. By activating the Multi Employees per Session option, you can designate which employees are permitted to use the system when creating a new store.
Setting Up Employee Access
- Navigate to the Point of Sale dashboard
- Select the three-dot menu on the shop's kanban card
- Click on the Edit button
- In the settings window, mention the employees in the relevant fields
- Save the data
Employee Access Levels
Basic Access
Employees must enter their PIN or select their name from a trusted list to access the POS session. Tracks sales activities precisely.
Advanced Access
Users with advanced rights can access the system without extra security passwords. Ideal for managers and supervisors.
Employee Login Process
- Launch the specific POS session
- Click the Open Register button
- A popup will open with a form for entering the employee pin code
- Choose the employee name from the employee icon or scan their barcode using the barcode icon
- Enter the employee pincode in the password field and press Ok
- Modify the Opening Balance and Opening Description on the Opening Control screen
- Proceed with the sales procedure
PIN and Badge Setup: Employees can assign their own PIN or Badge ID for login via the Settings tab of the Employees configuration form. You can also use the Print Badge button to create a Badge ID for a specific employee.
Share Open Orders Across Terminals
The Share Open Orders option allows multiple users or cashiers to view and manage the same open orders during a single POS session. This is facilitated by the Trusted PoS function, which makes it simple to transfer orders from one POS terminal to another.
How Shared Orders Work
- Configure the Trusted POS shop area in settings
- Create sales orders concurrently in two or more POS sessions
- Orders from different sessions are stored and tracked using the Orders section of the POS terminal menu
- Go to the Point of Sale and select Orders to launch a shared session
- View continuing order data from all connected sales sessions
- Click Load Order to complete an order from another terminal
Best For: Restaurants or retail establishments where orders are likely to be changed or completed across multiple terminals. Enhances operational efficiency and customer service with real-time access.
Hide Pictures and Large Scrollbars
Hide Pictures in POS
Product and category photos can be hidden or displayed using the Hide Pictures in POS option. Disable Show product images and Show category images to prevent any images from appearing in the product catalogue window.
Large Scrollbars
Enhances accessibility and visibility in crowded restaurants and POS stores. Makes mobile touchscreens and devices with low accuracy easier to use by increasing scrollbar size.
Product and PoS Categories
Use the Product & PoS Categories section to manage product groupings and visibility within the POS terminal. You can restrict which product categories are allowed for each POS session.
Configuring Category Restrictions
- Go to the Product & PoS Categories area in POS settings
- Enable the Restrict Categories option
- Select which PoS product categories are allowed for this session
- The selected categories will be displayed at the top of the POS terminal window
- Enable Sort by Category to organize products into categories within the shopping cart
Tax-Inclusive and Tax-Exclusive Pricing
By adjusting the Product Prices settings, product prices on receipts can be controlled after payments are completed. Two options are available:

Tax Pricing Example
Example Calculation:
Tax-Excluded Sales Price: $25.00
Tax Rate: 15%
Tax-Included Price: $28.75
When using Tax-Excluded mode, product lines display prices excluding tax, while the tax amount is added separately to the Total section in the POS terminal. The receipt will show Tax-exclusive Amounts with the applicable tax clearly added to the total.
Setting Up Tax Pricing
- Go to POS Configuration Settings
- Find the Product Prices section
- Choose Tax-Included Price or Tax-Excluded Price
- Save the settings
- Start a new POS order to see the pricing change reflected
Note Models: Custom Order Instructions
Note Models help businesses manage and customize extra notes or comments on orders or items. These notes can include customer preferences, particular instructions, or specifics to be included in the order or product line.
Managing Note Models
- Navigate to the Note Models section in POS settings
- View existing Note Models from the dashboard
- Click the New button to create new Note Models
- Enter the note content (e.g., "Extra spicy", "No onions", "Gift wrapping")
- Save the Note Model for later use across POS sessions
Restaurant Use
Pre-defined notes for dietary requirements, cooking preferences, or allergen alerts that cashiers can quickly attach to order lines.
Retail Use
Add notes for gift wrapping requests, delivery instructions, or product customization details directly on the POS order.
Service Use
Attach special service instructions, appointment notes, or customer communication preferences to each transaction.
